Ctr for Sleep-Breathg Disordrs
The Secretary Part-Time will:
- Answer all incoming phone lines stating name of department and identifies self. Screen incoming calls, determines urgency and dispatch requests to appropriate personnel; take accurate message in accordance with established department procedures.
- Utilize electronic medical record and electronic scheduling system to schedule patients for appointments. Ensure that all mandatory information is collected at time of scheduling call.
- Respond to majority of calls and visitors by providing information based upon relevant departmental and Hospital policies and procedures. Greet and receive visitors and patients in a courteous and professional manner.
- Interact with a variety of Hospital and outside personnel in a professional manner at all times.
- Retrieve phone messages and electronic logs every morning and throughout the day and responds to all call messages, in a timely fashion.
- Scan all documents, according to hospital policy, by the end of each day.
- When scheduling a new patient, ascertain that patient has directions to appropriate clinic.
- When requested/appropriate, assist patients in obtaining referral and/or precertification.
- Prepare for upcoming patient sessions by printing schedule, looking up medical record number, and pulling the medical record of each scheduled patient.
- Work with physician billing staff to ensure that there is a facility/ pro fee charge ticket for each patient in accordance w/policy, for patients who received services.
- Maintain physician's calendar.
Requirements:
- Ability to read and write well enough to type, edit and proof business correspondence and prepare reports.
- Two (2) years related secretarial work experience preferred. Work requires a comprehensive understanding of department/unit policies, procedures and operations in order to assume non-complex administrative details such as arranging meetings and conferences, answering routine questions from callers and visitors.
- Interpersonal skills necessary to deal effectively and courteously with a diverse group of internal callers, patients and visitors, as well as a limited number of external contacts.
- Bi-lingual skills a must.
